Being a property tech company, we believe it’s important to inform property owners of what Property Management Software (PMS) is.  If you currently own a rental property, or are close with people that are in the property management sector, you will have undoubtedly heard the term PMS.  The real question is, what is it exactly?  The overarching purpose of a PMS is to simplify how you — the property owner — interact with your property or your guests.

How a PMS can help you

Simplification

When you own a rental property, you will have to communicate with your guests one way or another. This can be incredibly time consuming, and make you easily distracted.  Since communication is key to being able to access the property, or discuss potential issues, it may take up a lot of your time.  Certain PMSs offer a better outlook on guest communication, that not only save you time, but also the hassle. These offerings are most commonly message templates and scheduled messages so that you won’t have to spend time repeating the same message over and over again. Less common are auto responses and an intelligent A.I to respond to guest’s questions.  This feature can actually answer questions for you (like the WiFi password).

The communication features are just one aspect. With a PMS, you get access to all of your current and future bookings all in one place, so you won’t have to worry about which calendar you wrote the booking in.

Another feature of a PMS is the ability to communicate with your guests on several messaging platforms. Why is this convenient? Well if one guest prefers messaging on Airbnb directly, and another prefers texting, a PMS aggregates all of those messages into one unified inbox.  This way you won’t have to switch between apps and lose the conversation.

When posting your rental on multiple Online Travel Agencies (OTAs) such as Airbnb and Vrbo, receiving a booking can prove to be a headache when disabling the blocked off dates.  With a PMS, you can manage all of your posted ads and simply disable the ability to book during that time period.

Maximization

When renting out your property, you’re always trying to figure out what prices will maximize your income.  If you’re renting out your beach house during the Labour Day weekend, you’ll obviously want to increase the cost per night, as rentals will be in higher demand. Instead of guessing what your property is worth, a PMS can help with the pricing by comparing other properties, giving you the best price to rent your property.

How to Succeed With Short Term Rentals

If you’ve read our recent posts, we have touched on certain things that can be done to turn your property into a short term rental or vacation home, and some challenges you may be facing with the current pandemic.  From this, however, you may currently find your rental struggling to make money, or you may be facing some difficulty to occupy your rental.  Both of these issues are incredibly common, and are prevalent in the hotel industry as well.  Statista reported that in the first six months of 2019, hotels in Canada averaged an occupancy rate of 62%, but in the first six months of 2020, this number dropped to 33%, a near 50% drop!

So the major question is, “how can my rental succeed?”.  The sad truth is that there is no straightforward and easy answer, but there are some things that can be done to encourage more people to rent your property, because remember, although the occupancy rate is down, people are still renting.  The main trick to get people to rent your property is to set yourself apart from the rest, and make your rental pop.

Many people have either had their financials hit disastrously or unable to travel because of flight restrictions. However, as restrictions are starting to lift up, rentals will become more and more popular.  Although people are now able to travel, people are making less money, so in order to capture a larger rental audience, you may have to sacrifice some of your rental income in order to undercut the other rentals. This may at first seem like a problem more than a solution, however, from this, you’ll be included in more renter searches as you may now fall in their search requirements. Which, in turn means that although you may be making less per rental, you will be making more, as you have more people that are willing to rent.

A slight discount per night is a great way of piquing your guests’ interest, but in order to convert your potential rental to a confirmed one, you will need to revamp your listing as well as your rental itself. In today’s climate, more people are feeling unsure about cleanliness as well travelling, and change is already starting to happen.  Hilton’s global head of new brand development, Phil Cordell, who is currently in charge of developing new cleaning measures mentioned “I think, more than ever, customers are going to be looking for that seal of approval,”.  It’s this seal of approval that you as a property owner will also have to achieve to reassure your guests that it’s safe to come back.  Hiring a cleaning service to come in to deep clean your rental after every guest is a great way to ensure your rental is prepped and ready to go for your next guest.  Also, another great tip to making your guests feel more comfortable is to have hand sanitizer and free masks available at the entry of your property, so that they know you have their best interests in mind.

Your rental is almost ready to get your guests back, what you have to do next is a simple and easy way of making sure your guests know your property is ready.  Go through your property listing on Airbnb/Vrbo/etc and rebrand your listing.  Accentuate what you’ve done to make it more COVID free, and your new rate discount.  When a potential guest views your property listing now, the first thing they should see is that your home is more accessible with the rate discount, and that your home is up to their cleaning standards. Remember, humans are a very visual being and seeing something that pops or stands out to them immediately when viewing is a benefit for you.

This method of updating your listing and scheduling cleanings may prove to be more difficult if you have many rental properties. On top of this, you must consider safety hazards that may produce a future problem for you and your guests.  Are there any faulty outlets, maybe some exposed wires, perhaps? It is best that these issues are taken care of before rentals occur, so injuries don’t. In order to certify a safe and pleasant rental experience, schedule a contractor and an electrician to come in to make sure everything is up to code, this way you remove any guesswork about the safety of your rental property.

So you’ve updated your policy, and have made sure your property is safe and are now looking to rent. The next piece of the puzzle is to check with current local laws, and find out what conditions must be met in order to rent out your property. Do you have to apply for a rental license? Are you eligible for a rental license? These are all questions you will need to ask yourself in order to have a legal rental property.  If you don’t know where to start, try asking around to other people that have short term rentals. If you’re unable, try looking for an online forum. BiggerPockets has a short term and vacation rental forum where you can ask questions about your property to others. The last thing you want is to go through the whole process of ensuring your rental is guest ready, and finding out you’ve missed a step. Making sure your property is up to code is a key part of your rental process as it protects you, your property, and your guest!

What’s next? Well, when you are ready to rent your property, you must think of the rules your guest must abide by. Do you care if they smoke or have pets? Or, how many guests they bring?  You must detail these things in your rental description before renting, so the condition of your rental is left in the same condition as it was before the rental.  Sometimes mistakes happen, but at the end of the day it is your property, make sure proper fines are in place in case your guest doesn’t listen.

Enso Connect and a calm home

We’ve all heard that age-old expression “your home is your castle.” And it’s true. This is where you keep your valued possessions, rest your head, and hopefully find a calm space to breathe. But owning a home or a property is a lot of work, and if you choose to use it as a rental space, then that sense of complication increases exponentially. You’ve got to manage a number of things you may not be used to: the utilities, allowing access, make sure you get paid, and promote your property in the right places. Even for the most seasoned of hosts and landlords, it’s a juggling act. That’s where Enso Connect comes in.

As with some of the best stories out there, the genesis of Enso Connect starts with a road trip with unexpected results. Back in February of 2019, I took a weekend ski-trip with some friends to Mont-Tremblant. We had booked an Airbnb, and upon arrival, we’d discovered that the key was frozen under the doormat. So, we did what anybody who uses Airbnb would do; we messaged the host. No answer. The only way to get access was to use lighters to melt the ice to free the only way into the house. Once inside, we found that the house was freezing and the heating system too complicated to figure out. Again, a message to the host was sent but went unanswered. Eventually, we figured it out and enjoyed the weekend.

When it came time to leave, we checked the app for check out instructions, only to find none. Again, we reached out to the host, only to be met with radio silence. It was only after a 6-hour drive back to Toronto, that we heard back from the host. By then, it was obviously too late to follow the stated instructions, but we left the house as we found it. Days later, we received a disgruntled message, claiming that we had left the heating off, and possibly a window open, leading to damages due to frozen pipes. Between their conspicuous silence regarding our messages during our stay and the fact that a) there was no way to prove that we had or had not done anything wrong and b) the length of time between our check out and his report, Airbnb sided against the host and we were off the hook. But, I was left with a bad feeling. Not because we potentially had been responsible for damages (we weren’t), but knowing that this situation could have been avoided with smart home devices and appropriate software to manage the property.

Upon my return to the Department of Computer Science Innovation Lab (DCSIL) at University of Toronto (UofT), I decided to tackle a prototype solution to this problem with a smart lock and a simple door. Over the duration of this class, I realized that the problem was much bigger than making a home smarter and managing remote access. There also needs to be a way to automate some of the more tedious tasks of being a short term rental host, with software, smart home tech, and AI communications. A renter will inevitably have questions about the wifi and local attractions, and a host won’t have all the time in the world to answer every question, or even the same question every weekend. And I felt like I was on the verge of an answer.

After graduating from the University of Toronto and moving on to pursue a part-time Master’s in Entrepreneurship at the University of Cambridge, I began working on a real-world solution that would eventually lay the groundwork for our company. Recognizing the need for a technical counterpart, I brought on Peter as a co-founder and CTO. With his expertise, we were able to develop the first functional iteration of our software, setting the stage for transforming how homes operate.

This initial version marked a pivotal moment, as it allowed us to start refining our vision and making tangible impacts in the industry. Together, we combined our skills and passion to create a platform that not only met the evolving needs of homeowners and property managers but also pushed the boundaries of innovation in home automation and management.
